MARKETING & OPERATIONS COORDINATOR

Position Summary

Resonance Ensemble seeks a part-time Marketing & Operations Coordinator to support communications, events, and operational systems for a season-based performing arts organization.

Working closely with the Executive Director, this role provides coordination and administrative support for marketing, events, volunteer engagement, studio rentals, and day-to-day organizational operations.

The successful candidate is resourceful and collaborative, with strong communication and organizational skills. This position is well-suited for someone who enjoys both creative, justice-centered storytelling and operational coordination, and who is excited to contribute to a mission-driven arts organization.

Resonance Ensemble supports a flexible work environment. Outside of concerts, events, and other scheduled in-person activities, work hours and location may be arranged with flexibility. The successful candidate may work remotely or from Resonance Ensemble’s office in Portland’s South Waterfront neighborhood; however, regular in-person collaboration with the Executive Director, typically once per week, is expected. Candidates should have reliable access to a computer and internet service.

This role is primarily focused on execution, coordination, and systems support rather than strategic planning or departmental management.

Core Responsibilities

Administrative & Operations Support

  • Provide administrative support to the Executive Director and team as needed

  • Support operational workflows and task tracking across internal systems.

  • Organize and maintain shared files, databases, and communication systems

  • Organize and maintain physical assets including music library, event materials, and supplies

  • Monitor shared email inboxes during designated hours, triage routine inquiries, and route or escalate to the Executive Director as needed.

  • Coordinate rentals for Resonance Ensemble's creative studio during standard business hours, including responding to inquiries, scheduling bookings, preparing agreements, maintaining calendars, and serving as the primary point of contact for renters, with scheduling, policy, or financial questions escalated to the Executive Director.

  • Maintain studio rental calendars, documentation, and client communications.

Marketing & Communications

  • Execute email campaigns, including scheduling and deployment based on approved content and campaign plans

  • Assist with drafting, editing, and proofreading marketing copy

  • Schedule and publish social media content across platforms

  • Update website content, including event pages, artist info, and routine content changes

  • Submit events to calendars and community listings

  • Serve as a point of contact for routine marketing and communications inquiries, escalating strategic or sensitive matters to the Executive Director

  • Assist with press materials, media assets, and partner communications

  • Coordinate delivery of creative assets and ad materials to partners and sponsors

  • Support fulfillment of partner/ad deliverables

  • Track marketing timelines and deliverables

  • Support light marketing efforts related to studio rentals as directed.

Event & Patron Experience

  • Support logistics for concerts and donor/subscriber events

  • Assist with front-of-house setup 

  • Support run-of-show coordination with production team

  • Help ensure a smooth patron experience at events

  • Coordinate guest list management and event registration as assigned

  • Assist with print materials and guest-facing communications

  • Support coordination of event touchpoints and materials

  • Support implementation of event experience plans developed by ED/creative team

  • Assist with volunteer communication and scheduling

  • Support event-day volunteer assignments and logistics

Skills & Qualifications

Required Knowledge, Skills, & Experience

  • Strong organizational skills and attention to detail

  • Ability to manage multiple deadlines and shifting priorities in a fast-paced environment

  • Clear written and verbal communication skills

  • Proficiency with Google Workspace (Drive, Docs, Sheets, Calendar)

  • Comfort learning and using digital tools, including some or all of the following: tools for communications, project management, website updates, ticketing, CRM, and data management. Tools currently used include Mailchimp, Google Workspace, Squarespace, and EvolvArts. Prior experience with these platforms is helpful but not required.

  • Familiarity with social media scheduling tools

  • Experience working in or supporting arts organizations, live events, educational programs, nonprofit organizations, or community-based initiatives

  • Ability to work independently while collaborating effectively with staff, artists, volunteers, and partners

Preferred Knowledge, Skills, and Abilities

  • Experience in performing arts, choral music, or live event production environments

  • Nonprofit experience

  • Volunteer coordination or customer-facing event experience

Event & Physical Requirements

This role requires regular in-person event support, including evening and weekend performances.

Responsibilities include:

  • Attendance at evening and weekend events on a regular basis (average: monthly)

  • Lifting and carrying up to 25–30 lbs (programs, materials, event supplies)

  • Extended periods of standing and movement during event setup and FOH shifts

  • Occasional evening and weekend work required for concerts and events, with advance notice. 

Compensation

  • $22-$26 per hour, depending on experience. This position averages 15–20 hours per week, with additional compensated hours during concerts and special events.

  • One week of paid vacation annually (20 hours)
